    E-mail data requests to HIV/STD Program - This email can be used to request data and statistics on HIV, TB, and STDs in Texas. It cannot be used to get treatment or infection history for individuals, or to request information on programs and services. Please do not include any personal, identifying health information in your email such as HIV status, Date of Birth, Social Security Number, etc.

    For treatment/testing history, please contact your local Health Department.

When I open the database, another file is created with an icon with a lock on it. Why is that?

  • The computer automatically creates this “locked” file when you open your database and prevents your database from being changed by more than one user at a time. This file helps to ensure that updates from one user will not be unexpectedly overwritten by another. The “locked” file is created automatically by Access when a database is opened and deleted automatically when the database is closed. This file has the same name as the opened database and is located in the same folder. See the images below:

Why does it look like I have more than one database on my computer?

  • Sometimes computers automatically save a copy of the database onto your computer when it encounters trouble and you exit the database. Only use the version that is titled “EBI Database”. Do not use the versions titled “db1”, “db2”, etc. These files should be deleted.

Can I use the same RRA data base over multiple contract years?

  • Yes, you will be able to generate reports for specific time frames (i.e. – 2010, 2011, etc.).

When is my RRA data export due to DSHS?

  • Data exports are due the 20th of each month.
  • Data should be submitted in a timely manner so that DSHS can accurately monitor and evaluate your program's progress.

How do I export my RRA data and send it to DSHS?

  • Two steps are needed for submission of your data to DSHS:

    1. Go to the main menu of the database and click on “Group Level Interventions” or “Community Level Interventions” (as it applies to your organization) to get into the export page. Click “Export Data”, then enter your initials (or the acronym for your agency), and destination folder (such as C:\Documents and Settings\All Users, or c:\temp) as prompted. Remember the destination folder name so when you need to go to this folder to find the exported XML file after successful export it is easily identifiable. A message should show up saying “GLI (or CLI) export complete.”

    2. Compress (zip) XML file and upload it to your organization's RRA folder on the TXPHIN.

If I don't have any additional RRA data to export for a particular month, do I still need to submit something?

  • If you don't have any new data just send an email to DSHS and your program consultant to notify DSHS that you do not have new data to submit.
